This policy applies to appointments, consultations, courses, webinars, workshops, training programmes, assessments and certificates offered by RCIRC.
1. Appointment Requests
Submitting an appointment form does not guarantee an appointment.
An appointment is confirmed only after communication from RCIRC.
2. Cancellation or Rescheduling of Appointments
Patients may request cancellation or rescheduling through:

Patients should notify the hospital as early as reasonably possible, preferably at least 24 hours before the appointment.
3. Appointment Delays
Consultation times may be affected by:
- Emergencies.
- Clinical priority.
- Doctor availability.
- Hospital operations.
- Equipment availability.
RCIRC will make reasonable efforts to inform patients of significant changes.
4. Course Prices
Course pages will display, as applicable:
- Base fee.
- Applicable taxes.
- Total amount payable.
- Discount.
- Instalment information.
- Separate assessment or certificate fees.
- Refund conditions.
Unless otherwise stated, prices are displayed in Indian Rupees.
5. Taxes and Invoices
Applicable taxes will be charged according to law.
An invoice or payment receipt may be sent electronically or made available through the user account.
Learners requiring GST information on an invoice should provide correct details before completing payment.
6. Payment Methods
Payments may be accepted through authorised providers using:
- UPI.
- Debit cards.
- Credit cards.
- Net banking.
- Digital wallets.
- Bank transfer.
- Other methods displayed at checkout.
7. Payment Confirmation
Payment or enrolment is confirmed only when:
- The payment provider reports successful payment.
- RCIRC receives confirmation.
- Eligibility requirements are completed.
- The user receives confirmation or access.
A screenshot or pending bank debit does not automatically confirm payment.
8. Failed or Pending Transactions
Where payment is debited but confirmation is not received, contact RCIRC with:
- Full name.
- Registered mobile number.
- Registered email address.
- Service or course name.
- Payment date.
- Amount.
- Transaction reference.
- Payment screenshot.
9. Duplicate Payments
A verified duplicate payment for the same service or enrolment will be refunded through the original payment method.
10. Refunds for Self-Paced Courses
Unless different conditions are displayed on the course page, a refund request may be considered only where:
- The request is submitted within seven calendar days of purchase.
- No more than 10% of the course has been accessed.
- No substantial downloadable material has been accessed.
- No assessment has been attempted.
- No certificate has been generated.
- No account sharing or policy violation has occurred.
After these limits are exceeded, the course fee will ordinarily be non-refundable.
11. Refunds for Live Courses
Unless different conditions are displayed on the course page:
Seven or more days before the course begins
The learner may request:
- An eligible refund; or
- Transfer to another available batch.
Three to six days before the course begins
RCIRC may offer:
- Batch transfer.
- Course credit.
- Partial refund after any disclosed administrative deduction.
Less than 72 hours before the course begins
The fee will ordinarily be non-refundable.
A one-time batch transfer may be considered where seats are available.
After the course begins
The fee will ordinarily be non-refundable once:
- A live session has been attended.
- Course content has been accessed.
- A recording has been provided.
- An assessment has been attempted.
- A certificate has been issued.
12. Webinars and Short Programmes
Fees for one-time webinars or short programmes will ordinarily be non-refundable after:
- Joining details are shared.
- Course material is provided.
- The session begins.
- A recording is made available.
Transfer to another eligible participant may be considered before the programme begins.
13. Non-Refundable Circumstances
Refunds will not ordinarily be provided for:
- Failure to attend.
- Failure to complete a course.
- Change of mind after substantial access.
- Failure to meet published technical requirements.
- Incorrect contact details submitted by the user.
- Expiry of course access.
- Failure to pass an assessment.
- Failure to obtain employment or promotion.
- Non-recognition of a certificate where recognition was not promised.
- Account suspension caused by policy violation.
- Unauthorised sharing or copying.
- Discounted enrolments clearly marked non-refundable.
- Administrative or examination fees clearly marked non-refundable.
14. Course Cancellation by RCIRC
RCIRC may cancel, postpone or reschedule a course because of:
- Faculty unavailability.
- Insufficient enrolment.
- Medical emergency.
- Technical failure.
- Regulatory requirements.
- Events outside reasonable control.
Where RCIRC permanently cancels a paid course before substantial access has been provided, the learner may be offered:
- An eligible refund.
- Transfer to another course or batch.
- Account credit with the learner’s agreement.
15. Changes to Course Schedule or Faculty
A reasonable change in faculty, date, session sequence or delivery format will not automatically create a right to refund where the essential course is still provided.
A transfer or other reasonable remedy may be offered where a significant change materially affects participation.
16. Instalment Payments
Where instalments are offered:
- The payment schedule will be displayed.
- Access may depend on timely payment.
- Missed instalments may result in suspension.
- Previous instalments may be non-refundable after access begins.
- Certificates may be withheld until full payment.
Recurring payments will not be automatically charged without express authorisation.
17. Refund Request Procedure
Send refund requests to:

“Refund Request – Appointment, Service or Course Name”
Include:
- Full name.
- Registered email.
- Registered mobile number.
- Patient ID, order number or transaction number.
- Service or course name.
- Payment date and amount.
- Reason for the request.
- Supporting documents.
Submitting a request does not guarantee approval.
18. Refund Processing
Approved refunds will ordinarily be initiated within seven to ten working days after approval.
The payment provider or bank may require additional time to credit the amount.
19. Chargebacks
Users should contact RCIRC before initiating a bank chargeback.
Fraudulent or unjustified chargebacks may result in suspension of access, cancellation of enrolment or recovery of unpaid fees.
This does not restrict the lawful right to dispute an unauthorised or incorrect transaction.
20. Insurance and Cashless Approval
Appointment or treatment confirmation does not guarantee insurance or cashless approval.
Patients should verify coverage with:
- The hospital billing desk.
- Insurer.
- TPA.
- Government scheme.
- Employer or relevant authority.
